Planning with us

What is Scribe’s specialty?

Our expertise is in luxury travel, and it’s where we add the most value. Think remote lodges accessible only by helicopter, intimate ryokan, passion-project boutique hotels and the world’s great grand dames. We have a particular fondness for Japan and African safari, but we plan travel to any corner of the world for travelers who love special places, thoughtful service, insider experiences, and time wisely spent.

How does planning with Scribe work?

It starts with a conversation about how you like to travel, where you're dreaming of going and what matters most to you. We love hearing about every place on your wishlist, so we can map out a travel plan for the years ahead and reach out early enough to plan each trip with plenty of lead time.

How far ahead should we start planning?

The sooner the better. The accommodations, guides and experiences that make a trip special often need time to arrange, especially in peak seasons. We'll give you a realistic timeline for your destination, and if there isn't enough time to plan a trip to our standard, we'll tell you honestly and suggest alternatives.

When can I reach you?

Our office hours are Monday to Friday. We keep an eye on clients who are traveling in case of a genuine emergency, but outside office hours please allow us a little time to reply. While you're away, you'll always have a local contact on hand, whether that's your hotel concierge or a dedicated contact for more complex trips.

Flights booked through Scribe come with a 24/7 emergency line for assistance while you’re traveling.

Fees and bookings

What does it cost to plan with Scribe?

There are several ways to plan with us:

  • Per trip: $1,000 for an itinerary of up to two weeks. Large groups and longer or more complex trips may carry an additional fee, which we'll agree with you up front.
  • Annual: $4,000 a year for unlimited trip planning, renewing each year.
  • No-fee hotel bookings: when you just need a tailored hotel recommendation and a booking with perks, there’s no planning fee. Adding transfers, touring or other arrangements makes it a planned trip, and the per-trip fee or annual plan applies.

All planning options include complimentary membership to the 360 Hotel Collection, an online platform where you can book our recommended hotels with VIP amenities and read our latest intel on the places you're heading.

What's included in the planning fee?

The planning fee applies to any trip, big or small, that we plan end to end, including:

  • Touring: guides, special experiences and more
  • Transportation: drivers, car rentals, helicopters, trains, boats and private yacht charters
  • Concierge arrangements: VIP airport meet and greet, restaurant reservations, spa appointments, event tickets and more
Can you help book flights?

Yes. We can book most commercial airlines and routes, with the exception of a few small regional carriers. Flights booked with Scribe come with access to 24/7 service while you're traveling.

  • Ticketing fee: $75 per person
  • Cancellation or change fee: $75 per person
  • Private jets: no fee
What if I need to change or cancel my plans?

Let us know as soon as you can, since changes affect our team and our partners on the ground. We'll always advocate for you, but each hotel and partner sets its own cancellation policy, and we're unable to waive or make exceptions to them. Every deposit, cancellation fee and payment deadline will be shared with you in advance, and we ask that these are honored as agreed.

Do I need travel insurance?

We strongly recommend it for every trip, and we're happy to arrange a quote through our preferred insurance partner.

How we work together

What can I expect from Scribe?

An honest, informed point of view, and itineraries built around you. We listen closely to what you ask for and the reasons behind it, and we put years of relationships with guides and hoteliers to work on your behalf. Everything you share with us stays confidential.

What do you ask of travelers?

A few simple things that help every trip go well:

  • Be open with us about pace, budget and how you feel about the ideas we share.
  • Let us know promptly if your plans change.
  • Reply to documents and deadlines in good time, including deposits, entry requirements and insurance windows.
  • Treat our team and partners with the same respect you'd expect in return.
  • Bring a little patience when the unexpected happens. Travel is wonderfully unpredictable.
Do you have a code of conduct?

Yes. Mutual respect is at the heart of how we work: between us and our travelers, and with the guides, hoteliers and other partners who make each journey possible. We ask every traveler to meet local cultures, customs and communities with curiosity and good faith, and to treat everyone supporting their trip with equal regard.

We don't tolerate discrimination or harassment toward our team, our partners or fellow travelers on the basis of race, gender, religion, disability, age or any other protected characteristic. If this standard isn't upheld, including toward our partners, Scribe and our partners may end services immediately and without a refund.

Why isn't every part of my trip effortless?

Some of the most rewarding places take a little effort to reach. Remote locations, longer transfers, changeable weather and unscheduled time are often part of the journey, and we'll always let you know when a destination calls for a little more effort. It's part of what makes these trips feel so special.

How do you look after my personal information?

Carefully. We keep everything you share in strict confidence and only discuss your trip with the team planning it. In the same spirit, the itineraries, contacts, rates and partner relationships we share are for your trip with Scribe, so please keep them to yourself and book through us.

Who is responsible for the hotels and suppliers on my trip?

Scribe Travel, in partnership with 360 Private Travel, acts as an agent for the hotels, guides, transport providers, airlines and other suppliers on your trip. We're unable to accept liability for their actions, omissions or insolvency, or for delays, losses or damage caused by events beyond our control. Your planning agreement sets out the full terms.
